- telephone number and email address;
- location, service requirements and preferred contact method;
- machine make, model, serial number, fault details, service history and related job information;

Why we use your information
We use personal information to respond to enquiries, prepare quotations, arrange and carry out servicing or repairs, maintain service records, communicate about jobs, manage our customer relationships, keep appropriate business records and protect our website and systems.
Our lawful bases
Depending on the circumstances, we rely on one or more lawful bases under UK data protection law. These may include taking steps at your request before entering into a contract, performing a contract, complying with legal obligations, and our legitimate interests in responding to business enquiries, providing and improving our services, keeping appropriate service records and protecting our business.
We do not use information submitted through the quote form to add you to a marketing list.
Who we may share information with
We do not sell personal information. Where necessary, information may be shared with service providers that help us operate the business, such as website and email hosting providers, IT providers, accounting or professional advisers, or other suppliers involved in delivering a service. We may also disclose information where required by law.
We expect service providers handling personal information on our behalf to use appropriate safeguards.
How long we keep information
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected. The period will depend on the type of record and may include time needed for customer service, service history, warranty, accounting, tax, legal or dispute-resolution requirements. When information is no longer needed, we delete it or dispose of it securely.
Cookies and website analytics
The site uses technical processes needed to deliver, secure and maintain the website. We also offer optional Google Analytics 4 (GA4), provided by Google, to help us understand how visitors use the site and where improvements may be useful.
Google Analytics is not loaded unless you choose “Accept analytics”. If you reject analytics, the Google Analytics tag is not loaded. We keep advertising storage, advertising user data and personalised advertising disabled in our site configuration.
If you accept analytics, GA4 may use first-party analytics cookies such as _ga and related identifiers to distinguish visits and measure information such as pages viewed, general engagement, device/browser information and how visitors reached the site. We use this information to understand website performance and improve the service.
Your analytics choice is remembered in your browser for up to 180 days so we do not ask on every visit. You can change or withdraw your choice at any time using the Cookie settings link in the website footer.
Google processes analytics information under its own applicable terms and privacy safeguards. We do not use this website analytics setup for advertising or remarketing.
Your data protection rights
Depending on the circumstances, UK data protection law may give you rights to ask us for a copy of your personal information, correct inaccurate information, erase information, restrict or object to certain uses, or receive certain information in a portable form. Where processing is based on consent, you may withdraw that consent.
To exercise a right or raise a concern about how we use your information, email service@procleanengineering.co.uk. We may need to confirm your identity before acting on a request.
Complaints
If you have a concern about our use of personal information, please contact us first so we can investigate it. You also have the right to complain to the UK Information Commissioner’s Office (ICO). Information about making a complaint is available at ico.org.uk.
